What types of information we collect
We currently collect and process the following information:
Future CCTV & Security Systems limited may obtain and hold contact information of individuals
directly relating to the provision of quotations and subsequent delivery of services.
This information may include some or all of the following-
-Full Contact name and Company name where applicable.
-Business or Property postal address and postcode.
-Personal and/or site Contact Telephone numbers.
-Completed proposals and quotations that may include the above information.
-Emails sent and received.
How we get the information and why we have it
All personal/business information above is gathered from the person making the enquiry,
typically the Home owner or Business representative.
The information is used by Future CCTV and Security Systems limited for the purpose of
preparation/delivery of a quotation or proposal and the subsequent delivery of services
thereafter.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for
processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this
by contacting Gerard Norman by writing to the registered address or phoning 029 2167 4400
What we do with the information we have
Information provided to us and gathered is used in the pursuit of determining an appropriate
solution to an individual or businesses specific requirements and assist with the creation and
delivery of any quotation or proposal.
Future CCTV do not operate any automatic Electronic or Traditional mail advertising.
Future CCTV & Security Systems Limited do not share any personal or company details with any
3rd Parties.
How we store your information
Any personal/customer information provided by you may be added to a customer database
spreadsheet and stored on a restricted access, secure computer at the above address and
backed up to a Microsoft Enterprise Cloud service. (Hosted on Microsoft Servers in the UK London,
Durham and Cardiff)
When generating quotations and invoices, basic customer contact information is also added to a
customer database within our Lloyds Bank based accounting package. (Hosted on heavily fortified cloud Servers in the UK and compliant with the highest banking and FCA regulations).
Should you(The end user) engage in a provision of services with Future CCTV, this information
will be held for a minimum period of 5 years from completion date. This is necessary for the sole
purpose of having an accurate record of what equipment was installed and having the ability to
provide follow up service.
Records older than 5 years will be reviewed annually and deleted if service is no longer required.
Electronic copies of quotations and survey information is retained for a period of 2 years
following submission of a proposal/quotation and then deleted if works were not taken up.
Paper records containing personal information limited strictly to copies of Sale Invoices are held
in a securely at the registered address. These documents are retained for a period of 8
years and will then be securely destroyed.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify information you think is
inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain
circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing
of your information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your
personal data in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the information you
gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have
one month to respond to you.
